About The Organization
The
Clean Technologies Research Institute ( CTRI ) facilitates the collaboration, promotion, and administration of Clean Tech research projects at Dalhousie University. It supports transformational advances in clean technology through multidisciplinary research, education and outreach, linking technology development, deployment as well as the social and environmental impact.
Job Summary
Reporting to the Director, CTRI , the Administrator will provide administrative support to the Institute in the areas of office management, information gathering, management and dissemination, and publicity. The Administrator will also manage the day-to-day financial activity of the Clean Technologies Research Institute and the Facilities for Materials Characterization and assist in the planning, organization and delivery of meetings and workshops.
Key Responsibilities
- Provide administrative support including, but not limited to, scheduling and attending meetings, preparing and distributing meeting minutes, drafting correspondence for the Director as needed, and maintaining mailing lists.
- Create an annual budget and oversee spending. Complete monthly reconciliation and prepare invoices.
- Develop and manage the website and social media accounts, including creating material for communication and promotion, as well as a newsletter.
- Coordinate logistics for events such as symposiums and conferences, liaising with Public Relations regarding the promotion of events.
- Provide support for grant proposal.
- Complete required hiring documents for employees and graduate students and participate in the hiring process, as needed.
Note
The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work) as agreed by all parties based on operational requirements and university guidelines.
Required Qualifications
- Undergraduate degree in physical science, engineering or environmental studies with a minimum of 3 years related experience in an academic environment.
- Excellent interpersonal, verbal, and written communication skills.
- Ability to work independently, as well as collaboratively in a team.
- Proficient in using financial management tools (e.g., Excel).
- Proficient in using information management tools (e.g., Dropbox, Google, MS Teams).
- Proficient in using conferencing tools (MS Teams, Zoom, Webex).
- Proficient in using document preparation tools (Word, Adobe, PPT ).
Assets
- Proficient in using expense management software (e.g. Chrome River).
- Experience with office administration.
