Job Summary
The Department of Family Medicine (DFM) is one of the most complex clinical academic departments in the Faculty of Medicine consisting of 10 residency training sites, distributed across three provinces. Reporting jointly to the Medical Education Manager and Curriculum and Undergraduate Coordinator, the Assessment, Quality Improvement (QI) and Data Specialist will serve as the department’s technical and administrative expert in scheduling and evaluation software (One45), educational assessments, QI, and data collection and interpretation for Family Medicine programs and sites throughout the Maritime Provinces.

Key Responsibilities
  • Identify and operate systems and software programs to facilitate assessments, QI and data collection. Design processes and perform time studies on best methods for data collection, exporting and reporting. Prepare customized reports and analyze system data for in-house leadership for program review, development and research.
  • Serve as the departmental “super administrator” of the software (One45) responsible for the scheduling and evaluation of students, residents, and faculty. Serve as the liaison and first point of contact with department and sites. Configure, set up and run routine timely processes, system and form/survey testing.
  • Identify innovations, requirements and appropriate administration and technological resources to meet the department’s mandates. Perform needs analyses to determine which system tools best meet department goals. Recommend best practices to maintain the integrity of sensitive information in the systems.
  • Serve as administrative lead and resource on all QI activities within the Medical Education (ME) Unit. Support a range of ME Unit and site staff and faculty to facilitate QI activities. Collect, analyze, and track program records and statistics.
  • Identify and operate systems and software programs to facilitate support in QI and data collection. This includes supporting and identifying requirements, processes and resource needs to meet accreditation standards.
  • Deliver workshops and coordinate and create webinars/presentations to support system comprehension and usage. Design, deliver and distribute one-on-one training materials and sessions and self-directed learning materials.

Note
Hours of work will be determined based on operational needs, however, these may vary within the normal working hours of 7:00 am – 6:00 pm depending on meeting requirements. Scheduling and compensation will be in accordance with the collective agreement.

The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work) as agreed by all parties based on operational requirements and university guidelines.

Required Qualifications
  • Completion of relevant diploma program plus approximately two-four years’ related work experience (or equivalent combination of training and experience).
  • Advanced computer proficiency including the ability to learn new programs quickly and experience in data collection systems, survey software, various on-line meeting systems (e.g. Zoom, Teams), MS Office (Word, Excel, Access), and scheduling and/or assessment/evaluation systems (e.g. One45).
  • Demonstrated administrative experience along with strong attention to detail, initiative, organizational skills, and the demonstrated ability to manage independently multiple competing priorities.
  • Strong interpersonal and communication (written and verbal) skills.

Assets
  • Knowledge of the Medical School and hospital IT systems as well as Dalhousie’s intranet, DalMedix.
