Job Summary:
The Project Administrator will support the regional team in performing a wide variety of responsible and multifaceted administrative and data entry duties and to provide information and assistance to customers as required and escalate accordingly. Perform administrative and office support activities for multiple Business Unit. The Project Administrator will be a self-motivated, detail-oriented team player, have strong communication skills and a sensitivity to deadlines. As an integral part of the team, the Project Administrator will work with project managers, project analysts, coordinators, Service Team, forepersons, and other office staff providing support in daily administrative functions.
Responsibilities:
- Data entry & daily management of costs (i.e. generate and maintain purchase orders, invoices, as well as track/log company credit card transaction records and create expenses report when required)
- Coordinate with technicians and head office to submit weekly timesheets with cost codes for submitting to payroll.
- Assist vendors and customers with obtaining information required for payment of invoices.
- Assist with the setup of new Subcontractors in our accounting system and act as liaison with accounts payable in obtaining required invoice approvals for processing.
- Assist with processing Accounts Payable, including follow up with staff for approval and following up with AP on past due payments.
- Provide support in the development and maintenance of company process templates.
- Review vendor costs coding, verifying charges and allocations to internal project expense accounts are correct.
- Coordinate with head office for COIs and gather required timesheets for monthly subsidy billings.
- Assist in the preparation of opening new projects, setting up new customers and vendors as requested.
- Provide support to accounts receivable in expediting payments as necessary.
- Attend meetings as required. Prepare agendas and take minutes as required.
- Provide overflow operational support to team as required.
- Obtain contract-related documentation (i.e.: bonds, insurance, permits, etc.) as requested.
- Assist with invoice coding/TAP reconciliation for projects (as a back up to Projects Analyst)
- Facilitate Helpdesk requests, support Health and Safety as needed and assist with onboarding of new hires.
- Assist in Streamlining/improving implementing new administration processes.
- Assist in the distribution and tracking of uniforms to technicians.
- Provide additional data entry & other clerical support as required.
- Perform other duties as assigned by Management.
Qualifications:
- Minimum 2 years of relevant financial and administrative experience.
- College diploma, certification, or combination of related job experience/training courses.
- Effective oral and written communication skills and ability to interact professionally.
- Computer skills required???Intermediate knowledge of Word, Excel, Outlook, PowerPoint. Ability to adapt quickly to new programs.
- Proactive, resourceful, conscientious with strong organizational, administration, personal skills and filing/record-keeping, etc.
- Basic accounting/business math skills and data entry skills
- Experience with accounting systems, and the ability to learn other software quickly as required.
- Hands-on independent worker and able to work independently or as a team with minimal supervision.
- Demonstrate initiative and ability to work well in a fast-paced environment.
- Strong management and support skills required with expert attention to detail, accuracy, analytic consistency, and data integrity.
