Join the talented, engaged and inclusive workforce dedicated to creating a better Minnesota.The employee will provide lead Administrative Support to the professional certification and licensing of Subsurface Sewage Treatment Systems (SSTS) professionals for the State of Minnesota and training and certification programs for the agency. Enter certificates of insurance and attendance, certification renewals, test scores, process mailings and barcoding. Communicate with the program coordinators to obtain all information needed to create the workshops, seminars, conferences, and exam sessions in a training database for the various programs. Will also serve as a back-up administrative support for the Wastewater and Solid Waste Certification, Licensing, and Training Programs. Certification and licensing functions are carried out in a professional and efficient manner and meet all applicable rules and statues requirements.The employee will advise staff as to the procedures and most efficient manner in which to prepare and complete projects relating to the program work, answer questions asked by the public and referring questions they are unable to answer to the appropriate staff person, and instructions and directing internal and external customer with questions about the process, procedures, or training provided by the SSTS program.Minimum QualificationsCandidates must clearly demonstrate the following qualifications:Ability to learn databases/workflows and to scan multiple page documents and utilize multi-function devices (scanner/copier/printer).Data entry experience to include accuracy and attention to detail.Customer service skills to respond effectively to customers who have questions about agency operations and procedures (in person, on the phone, and through public presentations).Skilled in using Microsoft Word or equivalent software to create, format, edit, print, and save a variety of documents, including memos and correspondence as well as spreadsheets, tables, charts, and graphs in an efficient manner.Ability to understand and follow written and verbal instructions.Business English skills sufficient to speak, read, write, prepare, and edit materials, using correct and error-free spelling, punctuation, grammar, and typing.The Minnesota Pollution Control Agency will not sponsor applicants for work visas. In compliance with federal law, all persons hired will be required to verify identity and eligibility to work in the United States and to complete the required employment eligibility verification form upon hire.Preferred QualificationsExperience working with Training or Certification program or systems that would tracking training requirements and accomplishments to insure valid licensing.Experience working with a document management system and document entry.Knowledge of data practices requirements when working with data and the ability to keep confidential information private and handle it appropriately.Ability ToFunction both independently and in a team environment.Establish and maintain effective working relationships with other employees and the public.Prioritize multiple assignments according to program guidelines.Follow detailed instructions for data entry, processing of documents, and execution of tasks in multiple data systems. Physical Requirements Requires occasionally lifting and/or carrying such articles as file folders and boxes.
