Office Manager / Care Coordinator Manager

Schedule: Monday - Friday
The Care Coordinator Manager is responsible for ensuring the day-to-day operations of a clinic runs smoothly within the ???front and back?۪ end, for both patients and staff. This position works closely with a Clinic Director and may manage other administrative or support staff. Responsibilities include following standard administrative processes, ensuring revenue and cash receipts reconciliation is completed accurately and timely, and providing administrative support to patients and staff. The CCM would work with the Occupational Health team which serves local and national employers.
Primary Responsibilities
- Creating an environment that is welcoming and warm to the patients
- Dealing effectively with customer and patient inquiries as well as complaints, in person, by email, and over the phone
- Supporting the clinicians of the Occupational Health Team; including but not limited to the physicians and nurses
- Managing the daily operations and client flow of the Occupational Health department, including the complex booking of multiple services
- Overseeing timely transportation and processing of lab-related testing
- File management
- Professional and clear communication with employers, employer-related entities, and other stakeholders
- Timely and accurate submission of forms and files to employers, employer-related entities, and other stakeholders
- Maintaining Accounts Receivable in collaboration with the Business Manager
- Accurately entering incoming payments
- Ensuring timely entry, accuracy, and completeness of all patient data in the Lifemark Patient System including intake, assessment, and discharge information
- Accounting controls and reporting
- Adherence to all company protocols
- Experience with working in Occupational Health and/or Doctor's Office would be considered an asset
Qualifications & Core Competencies:
- High School Diploma, G.E.D. or equivalent
- Current enrolment or graduation from a college diploma program in a related field an asset
- Excellent customer service skills and telephone etiquette
- High degree of organizational skills and ability to prioritize and multi-task
- A ???self-starter? with the ability to work independently and collaboratively in a team environment
- Ability to work in a fast-paced environment
- Strong computer and data entry skills
- Experience in a Physiotherapy clinic is an asset
