Mohawk College is currently recruiting for our next Campus Coordinator Reporting to the Operations Manager and in support of the Dean and Associate Deans, Marshall School of Skilled Trades & Apprenticeship, the Campus Coordinator provides coordination of external and internal operations in support of all Marshall School of Skilled Trades & Apprenticeship activities. The incumbent is responsible for a variety of organizing and administration activities for the campus/department including, but not limited to: general coordination and support of event and campus operations, sourcing, ordering and maintaining promotional materials, communications, employee office space, keys and access coordination, report preparation and liaising with industry and community partners. The incumbent is required to work during all events, which could be held in the evenings and weekends and at multiple campuses/locations. Therefore, weekday hours will vary to accommodate event dates, locations and times. Responsibilities: The duties of this position include, but are not limited to: Event Coordination Develops new initiatives to promote and celebrate Mohawk to internal Mohawk communities and to a variety of public and private sector external communities, at the local, provincial, national and international levels. Will work with program areas to either run an event or recommend a representative to attend an event. Coordinates and acts as a consultant to department services and programs engaged in planning events. Liaises with external clients who are planning an event on campus in partnership with Mohawk, including not-for profit and private sector organizations (e.g., TSSA, MLTSD, CWB, Skills Ontario, etc.). Initiates and maintains the overall Marshall School of Skilled Trades and Apprenticeship calendar of events and key college dates. Coordinates collecting personal information and payments for events from various stake holders. Plans, develops, maintains and communicates a schedule of campus and departmental special events. Communicates with faculty, ADs, Operations manager, students to discuss implications of events. Reviews, evaluates and reports on all activities and events; determines best practices, suggestions for improvements. Ensures compliance with Corporate policy, scripting, budgets (revenue and expenses planning) and protocols for events in conjunction with other internal College departments, schools, student government and contract clients, as well as external partners (VIPs, Government, Private and Public Sectors), to ensure effective staging of events and appropriateness of events to the promotion of Mohawk’s overall image. Prepares budgets for events and activities, if applicable, for review and approval by Operations Manager; monitors expenditures to ensure with approved budget. Authorizes all purchase orders within established authorization levels and prepares detailed information for invoices and charges back for events held at Mohawk, as well as arranges for paid services and materials needed for successful execution of events, including payroll for part-time and contract employees and students, rental companies, food services and entertainment. Prepares invitations (including list compilation and invite/RSVP process), promotional items, and communications, signage etc. Coordinates logistics pertaining to room bookings, floor plans, catering, parking, AV/IT requirements, entertainment, Facilities, Security, etc. Ensures events are at the highest appropriate standard of quality, including those involving elected officials, the President and the Board of Governors, Municipal delegates. Assists with recruits, training and coordinates volunteers as required. Coordination of Stoney Creek Campus Operations Processes and maintains records for room/miscellaneous key applications; monitor return of keys (i.e. at the end of part-time staff contracts). Coordinates office space allocations; collaborate with Planning and Facilities departments as required to determine needs, arrange for IT equipment moves/purchases, initiate room key applications, etc. Prepares and delivers campus wide communications as it relates to Facilities projects, staffing announcements, events, etc.; creating and maintaining a monthly campus newsletter. Collaborates with other service departments on campus (Library, CTL, Student Life, Campus Store, ALS) to address concerns, determine solutions, implement changes. Ensures campus wayfinding is accurate; updating as necessary with support from Marketing. Responds to general inquiries received via email, phone call or in person. Other duties as assigned. Qualifications: The successful candidate will have: A minimum of three-year post-secondary education in Business Administration, Marketing, Communications, or related fields; or equivalent combination of education and experience. A minimum of three years of practical experience, in a service-oriented environment; knowledge of skilled trades & apprenticeship. Demonstrated commitment and understanding of human rights, equity, diversity and inclusion with the ability to communicate and work effectively with diverse groups of students, employees and the community.
