Job Summary
The Registrar’s Office (RO) is a large, multi-site operation involved in the entire academic experience of Dalhousie students, from recruitment and admissions through to convocation and beyond. Reporting to the Associate Director, Admissions, the Coordinator is responsible for ensuring the smooth and efficient operation of the Recruitment & Admissions team processes and services, resulting in a positive experience for prospective and current students and their supporters, faculty, and staff. The team contributes to the daily operations of all key functional areas (e.g. admissions, recruitment, campus tours, events, communications, etc.) through the accurate and efficient administration and assignment of admission files, applicant inquiries, stakeholders’ relations, student and school outreach, campus tours and events.
Key Responsibilities
- Direct, delegate and manage all staff and the daily workflow of the unit.
- Manage the high-volume and time-sensitive communications received by Recruitment & Admissions, (a primary point of contact for the university for prospective students and supporters, current students, faculty, and staff) through the appropriate resource allocation and prioritization.
- Ensure timely and accurate responses to inquiries, requests, and processing done within the unit to create a positive experience for prospective and current students, parents, guidance counselors, faculty, and staff.
- Coordinate the team schedule, ensuring adequate staffing for the Welcome Centre, in-person advising, post-tour talks and events. Supervise 1 NSGEU position and assist with the supervision of student and co-op staff and be responsible for scheduling, training, and onboarding all new Admissions and Recruitment team members.
- Ensure the accuracy of information and records through quality analysis reporting and monitoring.
- Responsible for the effective management of administrative activities assigned by the Associate Director.
Note
The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work) as agreed by all parties based on operational requirements and university guidelines.
Required Qualifications
- Undergraduate degree, plus a minimum of three to five years’ related experience in a post-secondary environment (or an equivalent combination of training and experience).
- Knowledge of enrolment management practices and student information systems.
- Experience with supporting applications such as Microsoft Office programs.
Assets
- Experience in customer service and staff supervision.
- Experience in academic records and information management.
- Experience with Slate.
