The Opportunity
Accountable to the Manager, Quality, Innovation, Research and Training, Mental Health and Addictions, the administrative assistant maintains a high degree of confidentiality with all issues. Responsibilities include, but are not limited to creating written correspondence and proofing/editing material for accuracy; developing Excel spreadsheets, charts and tables based on clinical and waitlist data; developing PowerPoint presentations; data entry and scoring of outcome evaluation tools; database maintenance; typing/transcribing reports photocopying and distributing accordingly. The successful candidate will also provide administrative support to committees including taking and producing minutes; coordinate appointments and schedules, provide logistic and organizational support for conference planning including arranging travel, booking and expense recovery; organize and maintain electronic and hard copy filing system; assists with budget tracking and monitors financial expenditures, as required; assists in the development of reports, including gathering and compiling information; answers telephone/e-mail inquiries and communicates messages and information accurately with follow-up, as appropriate and other related duties as assigned.
Hours of Work
Monday to Friday; 8:00-4:00; some flexibility may be required.
Your Qualifications
- Minimum High School Diploma or GED required.
- Graduate from a recognized Office Administration Program required.
- Minimum three (3) years of related administrative experience required.
- Keyboarding skills of 60 wpm required
- Advanced working knowledge of Windows, Visio, Microsoft Office, Powerpoint, Excel and Database Programs required. Testing may be conducted on short-listed candidates for typing speed and knowledge of Microsoft Office
- Excellent judgment and discretion in handling confidential and/or sensitive information.
- Proven time management and problem-solving skills required.
- Demonstrated excellent organizational skills, strong communication (verbal and written) and interpersonal skills required.
- Demonstrated initiative, self-motivation and ability to work independently with minimal supervision required.
- Demonstrated high regard for quality, accuracy and attention to detail required.
- Demonstrated ability to function effectively in a stressful environment with multiple deadlines and concurrent activities
- Previous experience in a health care environment an asset.
- Experience with MEDITECH, Outlook and DSS an asset.
- Experience with SAP including payroll entry and monthly financial reports as asset.
- Competencies in other languages considered an asset.
