About Our Opportunity

The Administrative Assistant provides senior level assistance and is responsible for the efficient and effective operations of the Divisions of Registries and Business and Consumer Services. The Administrative Assistant provides clerical and administrative support to the Executive Directors of Registries and Business and Consumer Services, including establishment, coordination, and maintenance of procedures to manage the flow of information through the office of the Executive Director’s, tracking special projects and work plans, and compilation of correspondence and confidential reports.

Primary Accountabilities

  • Relieves the Executive Director’s of administrative and business details on a wide variety of matters
  • Effectively manages the Executive Director's schedule.
  • Ensures the timely, consistent, and effective delivery of information
  • Keeps in close contact with all management staff that report to the Executive Director’s
  • Contributes to the effective management of the Divisions
  • Maintains effective financial controls of the Divisions
  • Keeps events, business planning, and accountability process on schedule

Qualifications And Experience

As our next Administrative Assistant, you have successfully completed a one year administrative/secretarial diploma and have a number of years of progressively more responsible administrative/secretarial experience.

As the ideal candidate you have previous experience providing support in an environment that requires processing of sensitive information on a regular and timely basis. You demonstrate sound judgement, initiative and creativity. You possess exceptional communication and time management skills, able to determine work priorities and manage work with competing deadlines. You are a self-motivated individual who works well independently and participates fully in a team environment. You possess excellent grammar, proofreading and organizational skills.

You are experienced in ensuring confidentiality in all your work as well as establishing and building relationships with a variety of stakeholders and other levels of government. You have demonstrated proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint), and are familiar with STAR/STOR. Familiarity with SAP, Ariba, and/or Flextrack systems would be considered assets.

Working Conditions

  • Normal work week is 35 hours/week, 7 hours/day
  • May be required to work overtime on occasion

Additional Information

This is a two-year Term employment opportunity with an anticipated end date of March 3rd, 2026. The appointment status (‘term’, ‘temporary’ or ‘casual’) is dependent on the start date of the successful candidate.

Pay Grade: EC 05

Salary Range: $1,704.28 - $2,343.39 Bi-Weekly
