Office administrative assistant

Job Description

Overview: As an Office Administrative Assistant, you will play a crucial role in ensuring the smooth and efficient operation of our office. You will provide administrative support to various departments and executives, as well as help maintain a positive and productive work environment. Your attention to detail, organizational skills, and ability to handle multiple tasks at once will be essential in this role. 

Duties and Responsibilities:

  • Manage the reception area and be the first point of contact for visitors and clients.
  • Respond to phone calls, emails, and in-person inquiries, and redirect them to the appropriate employee or department.
  • Maintain a clean and professional office environment, including ordering office supplies and keeping track of inventory.
  • Assist with scheduling meetings, appointments, and travel arrangements for executives.
  • Prepare and edit correspondence, reports, and presentations as directed.
  • Organize company records and files, and ensure they are stored and maintained properly.
  • Coordinate with other departments to ensure timely completion of tasks and projects.
  • Assist with event planning and coordination, including booking venues, catering, and other logistics.
  • Manage and process company expenses and invoices.
  • Handle confidential information with discretion and maintain high levels of confidentiality.
  • Maintain office policies and procedures and suggest improvements for efficient operations.
  • Perform other administrative tasks and projects as assigned by the management team.
