The Department of Education and Early Childhood Development is seeking an individual to join the Services à la petite enfance Division, in the position of an Administrative Assistant.

What You Will Do

Reporting to the director of early childhood services, the successful candidate will be a motivated individual who is able to effectively apply his or her organizational skills to support the team by performing various administrative support duties.

The Major Responsibilities Of The Position Are

  • Acting as main receptionist for the assistant director.
  • Responding to general inquiries concerning early childhood services.
  • Communicating and responding to inquiries via telephone and email.
  • Providing administrative support to the staff.
  • Maintaining and updating records in various databases.
  • Managing technical human resources requirements (new accounts, technology requests, etc.).
  • Preparing, formatting and correcting documents and/or emails provided by team members.
  • Following up and coordinating correspondence and documents for various meetings, including preparing meeting agendas and minutes.
  • Processing expenditure invoices and accounts, formatting reports and presentations, completing various forms and maintaining files.
  • Verifying budgets monthly.
  • Reserving workspaces and providing coordination and logistical support for meetings/conferences.
  • Establishing and updating administrative methods to support effective ongoing office operations
  • Managing calls and drafting correspondence.
  • Ordering and maintaining an inventory of supplies.
  • Updating the early childhood section of the website.
  • Other related duties.

Work Environment

  • Office location: 620 McLaughlin Promenade, Moncton, N.-B. E1A 4R6.
  • Standard hours of work: Monday - Friday, 8:15-4:30.

You have outstanding communication skills, are dedicated to your role and have a strong work ethic. You have an exceptional eye for detail and are results oriented and skilled at finding solutions.

Need To Have

Your attitude, skills and interests are just as important as your area of study. We are looking for diverse backgrounds that bring a combination of the following:

  • A high school diploma supplemented by completion of a one (1) year post-secondary program in the area of office management, business administration or a related field and a minimum of three (3) years of related experience; OR a high school diploma supplemented by completion of at least a two (2) year post-secondary program in the area of office management, business administration or a related field and a minimum of two (2) years of related experience. An equivalent combination of education, training and experience may be considered.

Written and spoken competence in French is required. Please state your language capability.

Wage

$1,625 - $1,971 bi-weekly (ASL3).
