Front Desk Manager
Job Description
Halifax's Largest Real Estate Brokerage in the region is looking for a Front Desk Coordinator from 8:30 AM - 4:30 PM Monday through Friday. We are looking for a professional, efficient and friendly face to manage the front desk operations that may include but are not limited to the following:
- Greeting all clients and visitors to the office in a friendly manner
- Managing incoming calls to the office in a helpful and friendly manner
- Managing incoming e-mail, mail and other parcels to the office and distributing appropriately
- Receive deposits on home purchases, and commission cheques on closed deals
- Managing storage room security and contents
- Managing all agent requests in a friendly and helpful manner
- Assembling weekly Open House flyers for in-person sales meetings
- Coordinating the schedule & preparation of meeting rooms
- Coordinating agent duty schedules for multiple offices
- Coordinating & upkeep of all common area supplies & devices
- Ensure adequate supply of office stationery, general supplies, office furniture, signage and other equipment, as needed.
- Assist with office space inquiries and moves
- Arrange travel accommodations for key personnel
- Determine various office and agent needs and keep management informed
- Helping coordinate gifts, flowers and other items for agents
- Ongoing supervision of kitchen tidiness
- Printing and compiling marketing pieces as requested
- Provide support to various RLPA departments
- Basic IT support tasks such as setting up printers, troubleshooting computers (MAC and PC)
- Other administrative requests from management, administration and agent population
- Responsible for ensuring that policies and organizations standards are adhered to within the office environment
- Overall office management
QUALIFICATIONS/SKILLS:
- Previous experience as a receptionist or in an office position considered an asset.
- Ability to work with different internal and external customers in a professional manner.
- Ability to work in a fast paced environment
- Ability to prioritize tasks effectively
- Strong written and verbal communication skills.
- Experience working with the Google Platform (Gmail, Google Drive, Sheets, Calendar, Forms, Slides, Zoom, Streak etc)
- High level of professionalism and ability to possess a professional appearance at all times.
- Ability to work both as a part of a team and independently with high degree of accuracy and without immediate and constant supervision.
- Data input and technology skills.
