Job Summary
As the only dental school in Atlantic Canada, the Faculty of Dentistry has been offering an outstanding education in dentistry and dental hygiene for more than 100 years, and is a key part of Dalhousie’s inter-professional and allied health community that includes the Faculties of Medicine and Health. Reporting to the Manager, Admissions and the Manager, Alumni Engagement and Donor Relations, the Dean’s Office Receptionist will provide front reception duties for the Dean’s Office and administrative support to the Dean’s Office team.
Key Responsibilities
- Act as the first point of contact for greeting all visitors to the dean’s office, and respond to all inquiries (in-person, phone, email, etc.) received at the front desk.
- Make travel and accommodations arrangements if required; complete travel expense claim forms if required.
- Provide support to prospective students for requirements to the Dental, Qualifying, Dental Hygiene, Bachelor of Dental Hygiene programs. Receive and maintain confidential hard copy and computerized records. Calculate grade point averages, track supporting documentation and correspond with applicants about missing documentation and/or courses.
- Assist Admissions committee by preparing reports, setting up applicant files, and scheduling rooms for interviews.
- Prepare and send orientation packages for student with instructions to Register for classes, computer specs, order forms for scrubs, orientation activities, academic dates, CPR requirements, immunization, tuition fees.
- Provide administrative support to the Manager, Alumni Engagement and Donor Relations, which includes preparing thank you letters for donors for signature from Dean or Director of Dental Hygiene, collecting thank you cards/videos from students for donors, and assisting with the coordination of special events.
Note
Due to operational requirements, the successful applicant is required to work in-person on campus.
Required Qualifications
- Business/office administration program with a minimum of two years of related experience (or equivalent combination of training and experience).
- Excellent communication, organization, and interpersonal skills.
- Attention to detail and ability to multi-task.
- Sound judgement and confidentiality.
- Proficiency in MS Office (Word, Access and Excel).
Assets
- Experience in an educational or health-related/professional institution.
