The Administrative Assistant position for the Mobile Mental Health program will be tasked with a variety of responsibilities that will include scheduling, payroll submission, policy management, and overall organization of information within the program.
The Administrative Assistant position will act as the key person to generate reports, analyze data, and detect trends related to the program. The incumbent will design and document workflow and make appropriate recommendations that will positively impact operational effectiveness and distribute new information to the team when it becomes available.
Duties and responsibilities:

Ensures roster information is accurate and up to date;

Review for accuracy and submit staff pay sheets to pay roll

Work closely with Payroll to resolve any pay issues in a timely manner and reconcile all payroll errors in scheduling software;

Coordinate and schedule new staff orientation, team meetings, educational courses, external education, and community meeting;

Update scheduling software data as operational needs change;

Make regular contact with and ensure any issues, problems, and/or occurrences are brought promptly to the attention of the program manger(s);

Complete special project initiatives as they arise; and
-
Any other duties as assigned.
Qualifications:

Post-secondary education, preferably in the Health Sciences field, or an equivalent combination of education and relevant experience;

Proven experience with scheduling and payroll;

Proficient use of Microsoft Office Suite especially spreadsheets, word processing and database software. Understanding of internet, intranet, and client/server architectures;

Proven management and accreditation process experience an asset;

Problem solver and ability to multi-task;

Possesses strong attention to detail;

Well established written and oral communication skills;

Decision maker with a creative approach to dealing with complex situations;

Work independently, are an effective team player who is highly adaptable and thrives in a fast-paced environment;

Actively participate in outstanding customer service and accept responsibility in maintaining relationships that are equally respectful to all;

Ability to create and edit various reports, presentations and databases;

Ability to research, navigate and monitor applicable legislation, and other governing documents.
